This policy explains what personal information Surron E-Bikes collects when you use surronebike.org, buy from us, or contact us, and how we look after it. We keep it short and plain; if anything is unclear, email contact@surronebike.org.
Who we are
Surron Electric Bikes Ltd (company number 16400264, registered in England and Wales), trading as Surron E-Bikes, Unit 3 Mill Lane, Heather, Coalville LE67 2QE. We are the data controller for the information described here. Contact: contact@surronebike.org or WhatsApp +44 7454 750316.
What we collect
- Orders and reservations: your name, billing and delivery address, email address, phone number, the items you buy, the payment method you chose and payment references (for example a bank transfer reference or a cryptocurrency transaction ID). We never collect or store card numbers, and we never ask for your bank login or wallet keys.
- Account details if you create an account: name, email address, saved addresses and your order history.
- Enquiries and bookings: what you send us through the contact, test-ride and workshop forms, by email or on WhatsApp – typically your name, contact details, the bike you own or want, and your message.
- Warranty and servicing records: your bike’s model and frame number, the work carried out and the parts fitted.
- Technical information: the IP address, browser type and pages visited when you use the site, and the cookies described below.
How we use it and why we are allowed to
- To fulfil your order or reservation – taking payment, emailing you an invoice and our bank details, delivering or preparing your bike or parts for collection, handling returns and warranty claims. Lawful basis: performing our contract with you.
- To answer your enquiries and bookings and to keep in touch about them. Lawful basis: our legitimate interest in running the business and your request that we respond.
- To keep records we are required to keep – invoices and accounting records, and the paperwork road-legal bikes need for registration. Lawful basis: legal obligation.
- To keep the site secure and working – preventing fraud and abuse, fixing faults. Lawful basis: legitimate interests.
- Marketing: we do not send marketing emails or texts unless you have asked us to, and you can opt out at any time by replying or emailing us.
Who we share it with
We share only what each recipient needs: delivery carriers (Royal Mail, DPD, Parcelforce) receive your name, address and phone number to deliver parcels; our website host and email provider store the data behind this site and our mailbox; Sur-Ron’s UK distributor receives bike details where a warranty claim requires it; our accountants and professional advisers may see records when necessary; and we disclose information to the police, courts or regulators when the law requires. We do not sell or rent personal information. WhatsApp messages are carried by WhatsApp (Meta), whose own privacy policy applies to that service.
Some providers may process data outside the United Kingdom. Where they do, we rely on the UK’s adequacy regulations or the International Data Transfer Agreement to protect it.
How long we keep it
- Orders, invoices and payment records: six years after the end of the financial year they relate to (HMRC requirement).
- Warranty and service records: for the life of the manufacturer warranty plus two years.
- Enquiries that do not lead to an order: up to two years, so we can pick the conversation up again.
- Accounts: until you ask us to close the account, after which we keep only the order records above.
Cookies
The site uses only the cookies it needs to work: WooCommerce cookies that remember your basket and checkout progress, and WordPress cookies that keep you logged in to your account. We do not use advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings; the basket will not work without the essential ones.
Keeping your data safe
The site is served over HTTPS, access to order data is limited to the people who need it, and payment is by bank transfer or cryptocurrency so no card details pass through our systems. For your security we never publish our bank details on the website or invoices – we email them to you from contact@surronebike.org. If you receive bank details from any other address, or a request to pay elsewhere, do not pay: message us on WhatsApp first.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct or delete it, restrict or object to how we use it, or ask for it in a portable format. Email contact@surronebike.org and we will respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Children
You must be 18 or over to buy from us. We do not knowingly collect information from anyone under 18; test rides for younger riders are arranged with a parent or guardian.
Changes to this policy
